Band Booster Meeting Minutes – October 8, 2007

President Connie Andrews called meeting to order at 7 pm in the band room. There were 36 present.

Minutes from September meeting were approved as written.

Treasurer’s report, Lisa Johnson:

  • Money Market: $ 871.88

  • Fundraising: $ 34,051.12

  • Regular Checking: $ 1,332.82

OMI preliminary figures:

  • Gate & Program: $6060 minus start up; final total $5,635. Last year’s total: $5311.

  • Concessions: $4,636 minus start up; final total$ 3950. Last year’s total: $3294.

  • Bands entry fee total $ 2475; 4 bands have not paid

  • Judges fee: $2875

Thank you sent to the Community of Christ Church for donating bottled water to all band members and directors after the parade and the extra waters to the BOD.

OMI Debrief
What went well? Concession cooks- never ran out of food; Gate people- stamped arms went well; Ambassadors did really well; Field flow went really well; Organization & keeping time schedules well; Compliments received from many.

What could we do better? More trash cans at OUE; Port-a-pot near McQuerry; Concessions inside; Separate lines for just drinks; perhaps opening an additional gate as an entry & exit for those already paid; Signs with balloons & arrows directing busses; Cones with ropes directing traffic flow inside; Separate changing rooms for girls so bathrooms are not tied up forever; More stampers than just 2; Assign new ambassadors to repeat schools; Add info in packet about limited shade so plan accordingly; place to fill water jugs; more people directing traffic early in the morning; more barricades for better blockage of streets; make Russell Street one way going south from Dryden to Orchard; use Dryden for additional curb space; Middle school band meet at another location to stay out of way of busses & trailers, etc.; More parents help with props and everywhere in general; maybe have designated shirts for those in charge, so people know who to ask about helping; Adult stationed at the practice field to keep schools flowing through properly; Use south field for kids to stretch out; Back up tape recorders at parade route; More trash cans everywhere- borrow from PJD committee; More signs everywhere marking entrances, exits, practice gym, performance gym – posted thru out the school; Pre-sell tickets.

Who picked up “Bank Entrance here” signs at the corner of Russell & Dryden? They are gone. See if they are with the barricades.

Lee’s Summit North, October 13
Meal Sign Up List: Make sure your name is on Pam’s list to eat with the band members. This is for parents and extras only. The band members and guard are taken care of. Please pay at the competition. Lois has a sign up sheet for dessert, as these are not provided with the meal.
We are entered as 6A. There are 14 in our class.

BOA in St. Louis, October 20
There is not room on the bus for non-band members. Please check into carpooling. There is a spot on the band’s website under Rideshare.
Tickets can be ordered at www.bands.org. Click on programs, then regional championship, then tickets. General admission prices: $17 preliminaries; $21 finals; $26 upper level.
Band’s lunch is provided. Each member’s dinner is on his or her own. We have 40 finals tickets, but no prelims tickets for people other than the kids & staff. Chere will send email to everyone to see who wants tickets.

Senior Night Football, November 1
Remind Ken to order flowers.

UCM Festival, Warrensburg, November 3
Ticket Pre-sell: $10 each. We make 20 % off each ticket pre-sold. An award is given to the band that sells the most tickets. Dana Bamvakais is in charge. See Dana Thursday nights to purchase tickets. We will be in the largest class there. It will be in a prelims/finals format.

BOA in Indy, November 15-18
Chaperones must be paid in full by October 12. Those who have not paid will be removed from the chaperone list. See Lisa Johnson to pay. There will be prelim and semi-final tickets for chaperones. We will not provide tickets to the finals.

Magazine Sales Fundraiser
Student account statements were mailed out and reflect magazine sales that were turned into school, but not Internet orders. Reflects 85 % average, so if all who order pay for their subscriptions you will receive a refund.

Other New Business
School cut coaching budget so Chris and Kim are not being paid now. They are still coaching. A motion was made and seconded to pay Kim Kras $1500 to keep coaching during the winter guard season. This money will come out the Band Booster’s account.

Director’s comments
Mr. Hansen: Thank you for the new speaker system & camcorder. Both are working great! Need a portable stand for the speakers. This will allow them to be off of the turf for BOA. Needs to roll easily so a parent can move it.
Mrs. Hansen: Thank you for paying for Kim’s services as a coach for the winter guard this year.
Mr. Spayde: Thanks for the equipment mentioned by Ken. Thanks for all the help at OMI.
