Band Booster Meeting Minutes – January 8, 2007

The Odessa High School Band of Distinction Band Boosters’ Meeting was called to order at 7:00 P.M. in the band room at the high school by President Carrie Moore. There were 22 people present.

Secretary’s Report: Connie Andrews
Connie was absent but had prepared the minutes of the December 8, 2006 meeting. The minutes were distributed. A motion was made, seconded, and carried to accept the minutes as written.

Treasurer’s Report: Lisa Johnson

Operations (General Fund): $4,297.54
Money Market: $3,391.00
Fund Raising: $6,049.30
A $500 deposit has been made to the Bent Oak Golf Club for the Tournament.

Fund Raising:

Carrie Moore reported that trash bags sales are going well. We are low on yellow and white bags. Carrie will reorder.

Kathy Moore reported on the First Annual Odessa Band Golf Tournament. It will be at Bent Oak Golf Course. Information about the Silent Auction, Hole Sponsors, and signing teams up for the tournament are on the web. Hole Sponsors will be for the amounts as follows: Gold- $150, Silver- $100, Bronze-$50. Golfer’s fees are $70 which allows them to play golf, eat lunch, and get the opportunity to get many other prizes. (Fee is discounted for foursome sign-ups vs individual) The prizes, such as for “longest put” or “hole in one” are sponsored by Bent Oaks. Kathy stated that we need people to help with various jobs that day such as grilling hot dogs and brats. An informational letter about the golf tournament will be sent home with the students very soon. The jobs that are needed will be in the note. An advertising committee was formed with Kathy Moore, Sara Williams, and Pam Raffurty volunteering. Those members will look into working with businesses in the area for sponsorship. More information on this will be shared with the students at a later time.

In other fundraising news, Pam Raffurty is going to check if we can collect Patricia’s coupons as an on-going fund raiser.

The magazine fund raiser was a success. An updated spreadsheet has been made of how much each student sold. It is being updated as more people subscribe to magazines, Parents may check with Lisa Johnson to find out what a student has in their trip account.

Old Business:

Chicago Trip:
Survey: Sixty-four surveys were returned. Scenario #2 was the winner of the survey. That stated that the student will pay $450 for the trip and that will reduce the amount that the chaperone will pay. The idea is to ensure that we get the required amount of chaperones for the trip. Mr. Spayde has made 10 for 10 slips that students can give to relatives and friends. This is a way that people can sponsor students without having to sell anything. Many people really like donating in this way. The person pledges an amount of money and sends it to the student. The student will then send a postcard to the person while the student is on the band trip.

Ken reminded everyone that he had announced it ever since July that each child could pay a small amount at a time each month. He was excited that this was a concert band trip rather than a marching band trip. He told about other successful concert band trips in the past to Atlanta, St. Louis, and Gatlinburg. Three buses will be taken on the trip from a very reliable bus company.

Chaperone List: Ken announced that we are still in need of chaperones for the trip, especially male chaperones. Everyone that is able to chaperone on the Chicago trip are to email Ken or Kirby as soon as possible.

New Business:

All Conference Band:
Odessa High School will host the All Conference band on March 2 and 3, 2007. The band boosters will help with setting up, tearing down, and the luncheon and snack. Meal plans should be made for approximately 130 students and directors from many different schools in the conference. This will be discussed at the next meeting.

Pageant of the Bands/Auction- March 10:
Ken announced that everyone should save their pennies, nickels, dimes and dollars for the annual pie auction. Money for this goes into the general operating account.
