Band Booster Meeting Minutes – November 11, 2007

President Connie Andrews called meeting to order at 7 pm in the band room. There were 46 present.

Minutes from October 8 meeting were accepted as written.

Treasurer’s report, Lisa Johnson:

  • Money Market: $ 6454.04

  • Regular Checking: $ 2657.41

  • Fundraising: $ 26,572.14

PAID: half down on Hard Rock Café, truck rental
NOT PAID: $2300 for DVD’s of performance and patches, Spaghetti Factory, and hotel
OMI: Total profit $8900.57; an increase of $ 2345.6 from 2006; 3 bands have not paid.
There are 25 Grand National finals tickets available for $38 each. A system will be worked out with Mrs. Hansen.

District Band

9 students went to Districts. 4 students were accepted into the District Band: Olivia Biondi, 2nd chair; Rachelle Geddes, 2nd chair; Logan Olson, 3rd chair Honorable Mention; and Daniel Long, 3rd chair Honorable Mention.

BOA, Indianapolis:

Itinerary is posted online. The students should have taken home the itinerary. Arrive at the school by 3:45 am. Meeting was turned over to Mr. Hansen. A ”What to bring list” was passed out. 1 bag may be placed under the bus. Advised to wear layers. Absolutely no alcohol, drugs, cigarettes or tobacco allowed. Please leave at home. If you have to smoke, please be discrete and smoke in unobvious places. Out of the student’s eyes.

On Friday, we may have down time at the hotel swimming or possibly a museum trip. This all depends on the student’s behavior. Chaperones are only needed for sleeping in the room. Don’t feel obligated to watch student’s 24/7. For the most part, there is good behavior overall. If anything inappropriate is seen, please bring to the student’s attention. If there is back talk or disrespect, please bring that to the director’s attention.

In watching other bands, please keep mouths shut. This is disrespectful. Encourage students with positive comments.

Props: Parents may bring on the props but cannot stay on the field. Mr. Spayde cannot even touch the mixing board. We will be penalized. Everyone comes in from the same direction. Wait for orders in crossing the line. Time starts once the line is crossed. Prop crew must exit before first note is played. Prefer for crew to stand in front. Concern was expressed over exiting and entering the field with the props. Issue on number of BOA staff giving directions on the field. Informed there will only be 1 or 2 people. There is a prop building area at Indy. Props are mostly assembled.

Sign up sheet for bus tonight. Otherwise put where ever by Mr. Hansen. Students will sign up on 11/13.

Grand Nationals:

Everyone competes with everyone. Class divisions are not known. The awards ceremony at preliminaries will not be given awards. The top 30 bands will go on to the semi-finals. Four Class A bands will have to perform in the semi-finals. If they do not receive a top score, the top 2 scores from Thursday and the top 2 scores from Friday will proceed on to the semi-final competition. At the end of the semi-finals the class champions will be announced.

We are performing early after LD Bell from Texas. They have one of the best band programs in the nation. This should help us if we have the best performance ever. We are used to practicing early. Asking for those going to watch LD Bell and Odessa’s performance.

Next year, Grand Nationals will again be held on the third weekend of November. After that it will be on the second weekend, which will conflict with District Band. We are going in the right direction. Indy last year was a good finish. We would like to finish this year with a good note. Why we go. 55% is based on our performance. 45% is to see others and gain more knowledge. Compared to 5 years ago we have made huge steps.

As part of the $375 package, the student’s will receive a DVD of the band’s performance, a 2007 Grand Nationals patch (the last in the RCA Dome) and all meals.

There is a typo concerning eating at the food court in St Louis. It should state Thursday. Christian Brothers is located at 40 and 270 in St Louis. Meet there for practice then go to lunch. List was provided with numbers and times in case parents need to reach their children and are unable to by cell phone. Breakfast will be delivered to the hotel rooms around 5:45 am. One breakfast per person per room.

At 3:45 am, the boys will meet by the all-purpose building and the girls will meet at the north awning for luggage inspections. All luggage and instruments will be placed under the same bus they are riding on. Students will load their luggage, meet back in the band room, and then load the bus for the trip. Chaperones may choose their seats first. Same sex students will sit together when the sun is down. Cars must be parked on the street or in their child’s spot if a parking pass has been purchased.
Conductor stands and pit are needed for rehearsal. Passes will be given out to the pit crew.

Director’s Comments

Mr. Hansen

Only 4 students made district band this year. Same number as his first year here. Students are missing the great opportunity for private lessons; 22 signed up only 9 showed up to go to Districts. The material for District Band is here. The music is available with the directors or it may be purchased on its own. Lessons all year, trying out for Districts, or going to Districts with a solo or ensemble are the only way to letter in Band. Students who are ahead take lessons. These students go above and beyond what the classroom demands.

Marching Band requires a huge commitment. We are looking into a Marching Letter. But this is not as big as a Musical Letter. There is always a way to make lessons happen to those who cannot afford it. He is concerned about the fewer number of students involved in the music program than a few years ago. Asked for help in encouraging students to strive for excellence.

Mr. Spayde:

For those you make District Band, a scholarship could almost be guaranteed whether going for a degree in music or another degree. District is an investment to the future.

Mrs. Hansen:

Criteria for letter winners are different for each sport. Most sports handpick those who earn a letter.

Mr. Spayde:

Request concerning the laptop and music software, to update the music software to a new version is $129; motion was passed to purchase the updated software. Also the power cord to the laptop needs to be replaced fro $100; motion was passed to purchase new cord for $100. Thanked the booster for passing these motions.

Mrs. Hansen:

Kris and Liz were unable to ride the bus to Indianapolis. Was able to purchase one-way tickets for $54 each. Asked for the band boosters to reimburse the expense. A motion was made and passed to reimburse this expense. Is scheduled to have baby on December 18 at 8 am. His name is Max. Thanked the boosters.

Mr. Hansen:

Steve Vento came to consult the band performance. He usually charges $150 per session and 50 cents a mile. Band Boosters paid him $500 for 2 days of consulting. Can ask for the school to reimburse the boosters. A motion was made to pay the fee. The motion passed.

Connie Andrews stated Jefferson City spent $600 per person for one trip not including meals. Our fee was only $375, which included third quarter snacks and T-shirts. The third quarter snacks cost $4.28 per person. Recapped information concerning the trip: to arrive at 3:45 am, check the student’s luggage and to sign up for a bus tonight.

Prop crew was to meet with Wayne Moore directly following the meeting.
