Band Booster Meeting Minutes – November 13, 2006

President Carrie Moore called the meeting to order at 7:00 p.m. in the Art Room at Odessa High School. There were 26 people present.

Minutes of the previous meeting were distributed for review by all those present. Motion made, seconded, and carried to accept the minutes as written.

Treasurer’s report from Tracy Bell:

Operations Account: $9,257.85
Money Market: $3,369.72
Fund Raising: $1,774.54

Trash bags for fund raising continues. Members discussed options for other fund raising activities. The administration monitors all fund raising activities of any organization involved with the school to minimize financial burden on the community. We will continue to look at options with Mr. Hansen’s oversight to entertain only those that will worthwhile to present to the administration.

Parents of the high school Color Guard is sponsoring a hunters’ breakfast November 11 and 18. Community is invited. $5 per adult, $3 for ages 6-12 and seniors, under 6 is free.

The marching season definitely concluded on a high note with the experience at the Bands of America competition in Indianapolis. Mr. Hansen expressed much appreciation to everyone for making the season a success. The band program is receiving a great deal of attention and accolades as well as invitations to perform in competitions. (Mr. Hansen will only bring before the boosters those opportunities that are of value to the students and which are feasible to participate in.) The display at the office of The Odessan is a great tribute to the season. Again, our amazing website (thank you, Belinda Johnson!!) has many pictures you’ll want to view and download. A huge thanks to everyone!!!

We have not progressed with the purchase of the video camera since the marching season has concluded (our main use for the camera). This time will allow us to shop for the best value for the equipment needed. Carrie Moore will pursue.

Rick Walker has resigned as treasurer for the boosters. Tracy Bell is the acting assistant treasurer and has also resigned this position. We are in need of two people (one primary and one back up) to fill those positions. The transition should be a smooth one to a new treasurer since Rick has all the accounts and ledgers already set up. He will assist in the training of the new treasurer and help them get acclimated to the job. Lisa Johnson volunteered to take the assignment of treasurer. Kelly Duff volunteered to act in the assistant treasurer capacity. These two individuals were voted in by those present.

The normal date of the December booster meeting is the same night as the holiday concert, therefore, the December meeting is changed from December 11 to December 4.

We will host the conference band on March 3. Ten schools will be involved in this event, and we will host a luncheon. This will require several volunteers to help with various aspects of the day. More discussion at future meetings.

The pie auction will be March 10. This is our main fund raiser of the year.

The rental van used for the trip to Indianapolis was damaged in a collision with a deer on the return trip. The boosters are obligated to pay the repair bill of approximately $2,800 for this damage. We hope this does not affect the student costs on future band trips, but that is a possibility due to the unforeseen expense.

Mr. Hansen and Mr. Spayde will attend a Directors Professional Conference as they have in past years. This is an excellent developmental opportunity for our band staff and translates to increased educational opportunity for our students. There are over 2,000 exhibitors of music, performances by the elite ensembles in the country and some international (Dallas Wind Symphony, Tokyo Wind Ensemble, 2nd Air Force Band) plus the nations best clinicians. The district will pay the cost of the conference fee and hotel bill. As boosters, we would like to support their attendance at this event. In the past we have contributed some money toward the expense of meals and travel. Mr. Hansen will look further at the expenses anticipated and will let us know if there are ways we can help.

We were scrambling for chaperones for the Indianapolis trip up until two days before we left, which nearly caused the trip to be cancelled. For the pending concert trip to Chicago, we really need to get this situation pinned down much earlier so we can determine if the trip is feasible. The expense of the trip will be approximately $400 per student and chaperone as well as two workdays. We need 17 male chaperones and 21 female chaperones that are able to make this commitment. Mr. Spayde will draft a communication to be forwarded to all the booster email addresses as well as posted on the band website. He and Mr. Hansen will look closely at the expenses to determine the most cost effective figure with the hope of getting this pinned down in January.

Six students are eligible to try out for state. Congratulations to them on this achievement!

Private lessons are recommended for all band students. The more students that participate in private lessons, the better the performance of the ensemble. Please see Mr. Hansen or Mr. Spayde for a list of teachers providing private lessons.
