Band Booster Meeting Minutes – February 12, 2007

President Carrie Moore called the meeting to order at 7:00 p.m. on February 12, 2007 in the band room at the high school. Minutes from the previous meeting were distributed and read by those present. One amendment to the minutes is in the price for the upcoming golf tournament. The price should read $70 per individual or $260 per team of four. The minutes were approved as amended.

Treasurer report

Regular checking - $3,645.03
Money market - $3,398.20
Fund raising - $6,326.52

Magazine sales – The magazine vendor sends one check per month representing the renewal subscriptions for that month. The treasurer posts the individual amounts earned to the student’s account. Lisa will send home a statement for each student indicating their current balance in their account. (2/16)

Patches – Sign-up sheets have been posted for several weeks in the band room for students wishing to purchase patches from various events. Chere White volunteered to handle this process. Mr. Hansen and Mr. Spayde will remind the students to sign up if they wish to make purchases so we can finalize this process.

Conference band – March 3 we will host the All Conference Band. The event will begin at 8:30 with schools starting to arrive around 8:00 a.m. There are 10 schools participating with 7-8 people each. Dr. Joe Parisi will present a clinic with the students. The final concert is open to the public and will be at 5:00 p.m. We will provide snacks and the noon meal, which will be reimbursed to the boosters from the fees paid by the participating schools. We will ask for some donations from the parents for items needed.

Pie auction – Students can bake a special pie if they would like. We will auction a total of 60 pies. Extras are sold at the end of the auction for a set price. We will need some boosters to help check in the pies, some at the money table, some runners/spotters. Boosters will pay the auctioneer the same fee as previous years.

Golf tournament – Kathy Moore, Sarah Williams, Pam Raffurty
We have five hole sponsors so far ($600 profit for band) and zero golfers. There will be an article in The Odessan. Forms for sponsorship or golf entry are available on the band website. Meyer Music will provide plastic goodie bags and possibly a sleeve of golf balls. Sponsorship will go to the account of the student who acquired the sponsorship. We ask the students to please not go to the businesses in town because boosters on the committee are already contacting them. If a student has a parent (or other particular connection) with one of the local businesses, they can choose that student’s account. Any donator can always choose to credit to a particular student. Amounts up to $450 will be credited to that student’s account or their attending chaperone account (Chicago trip). Amounts over the amount required for the chaperone will go to the general fund.

Thank you cards – Designer concepts will print “thank you” cards for those supporting band events. Mr. Hansen will get those funds from the school. $120 for 250 cards on card stock with envelopes.

Assistant treasurer – We no longer have an assistant treasurer due to resignation. Pam Raffurty (vice president) will act as secondary signatory on our accounts along with Treasurer Lisa Johnson.

Chaperone policy – The school board is reviewing the chaperone policy. They should make a decision by 2/13 whether there will be any amendments. If the policy is not amended, we will need 16 male (we currently have 7 signed up) and 17 female (we currently have 11 signed up). The school board does want to support the band. We will explore the option of having the girls stay in one hotel and the boys stay in another hotel. We will need all male chaperones by the March meeting.

10 for 10 – Brochures are available for students who wish to raise trip funds using the 10 for 10. (Get 10 people to agree to donate $10 for the trip). Brochure available for download HERE

Land donation – Larry and Lou Green have donated a parcel of land near Lowry, Missouri to the band boosters to use as deemed appropriate to raise funds. This is a camping lot in a gated park with a swimming pool approximately three miles to a main lake. The lot is valued at approximately $2,000. The maintenance fee ($99 per year) is already paid for 2007. Annual taxes are approximately $14. The property will be sold through ticket sales and drawing. Sales of tickets will go to the account of the selling student. 7th and 8th graders will also be allowed to sell tickets, but high school students will have two weeks to sell before the middle school. Mr. Hansen and Mr. Spayde will work with the committee. Additional incentive for sales: $50 to trip account for top seller, $35 to trip account for second highest seller, $25 to trip account for third highest seller.

Free concert – Odessa will host the Southwest Baptist University ensemble performing a free concert at the high school on March 2 at 1:30. Alumni Ashlee Hodges and Jordan Hodges both play in this ensemble.
